Business Issue: Spiralling Internet Usage and Costs
Situation
With 700 staff widely distributed across 11 sites and over 200-250 active
internet users Presbyterian Aged Care faces a significant challenge in
controlling internet performance and usage.
Presbyterian Aged Care were experiencing significant performance issues with
their internet service. Operating red-hot and often at 100% of capacity it was
causing business critical functions such as Internet banking, payroll and AP to
fail, additionally they were being hit by excess usage charges and contending
with an extremely frustrated workforce.
Diagnosis
Whilst they were able to manage around the issue by instructing staff use
their Mobile Data connections for priority business, this was not a sustainable
solution.
Purchasing & Development Coordinator, Scott Bassett, looked to InView to confirm
what he suspected, the Internet services were being heavily utilised and often
spent time at 100%. This was having an obvious impact on applications
performance.
More detailed analysis and triangulation of the traffic patterns revealed that
the very high usage volumes were associated with an issue with the proxy server.
Solution
Using the data from InView, Scott was able to produce a business case to
justify an upgrade of the proxy server, increase their internet plan and double
their internet capacity from 2Mbps to 4Mbps. This solution has seen the
performance issues rectified and a reduction in Internet costs as excess usage
has been eliminated. As a result Scott has seen Internet savings of
approximately $12,000 over the past 4 months.
Launching off the back of this success, Scott is now using InView throughout the
network as part of his daily management routine, saying “It is now second nature
to review overnight usage patterns for any unusual events”. Scott recently
expanded the reach of InView with the implementation of Internet Flow Reporting
offering far greater visibility of not just utilisation of his Internet services
but how they are being used, providing him with greater control of managing its
performance and cost.
“We see InView as being complementary to the other tools we use to manage our
business, it has allowed us to differentiate between WAN and LAN related issues
which has correspondingly allowed us to shorten the trouble shooting cycle and
reduce potentially expensive Systems Integrator call-out fees when they are not
required”.
Although reviewing services on a daily basis, Scott has enabled the alerting
capabilities built into InView giving him the peace of mind of knowing he will
receive early notifications of any potential network issues.
Scott is now able to provide the business with early notification of a network
event and anticipated resolution timeframe rather than having the users call him
to report it catching him “off-guard”. Scott said “I’m seeing the benefits of
better management of end-user expectations, with significantly reduced
frustrations for the workforce and IT team alike”
